Updated settings available to admins and Groups users


Hello Administrator,



In May 2019, we’ll make some changes to Google Groups’ settings. In response to your ongoing feedback, we are updating Groups’ settings to make it easier for you and your users to manage and configure groups.



Specifically, we will remove settings and features that are rarely used, and combine settings that cover similar functionality. Use this Help Center article to see details of these changes and see how you can prepare for the update.



The changes will start to roll out on May 6, and may take up to 15 days to reach all domains.



What does this mean for my organization?



The removal and merging of some options for group management roles in the Settings section of groups.google.com will affect the settings for your existing groups. When the changes take effect, we’ll update the settings for existing groups to match the new set of options. These updates may change how groups can be accessed and used. What do I need to do?

Some users may lose access to group management features



Some users who are not group owners or group managers but who currently have access to specific group management features may lose that access. Therefore you may want to audit groups in your organization and adjust the settings before May 6 to make sure these users don’t lose access.



If you do nothing:




  • Existing group settings will be updated to conform to the new controls available.




  • Group owners will still be able to change the settings that apply to their group at any point.




  • New groups will be subject to the default controls that are the same as they are today.



We recommend that you audit your groups after the change to confirm that the new changes have the desired settings.

How will users find out about these changes?




  • In-product message: In the next few days, users will see an in-product message about the upcoming changes when they use Groups. The message will direct them to the Help Center for an overview of the changes and change timeline.




  • Admin outreach: We encourage you to work with groups owners at your organization to educate them about the changes and encourage them to take any necessary actions before May 6. You can see an email template that could be helpful in communicating these changes to your users.



How can I see affected group owners?



Most groups will be affected in some way by these changes. You can use the Groups API to get a list of all groups and get a list of group owners in your organization, which might help you prepare for the changes.

As we announced in December 2018, the consumer version of Google+ is shutting down in April 2019. As a result, as early as February 4, 2019, G Suite customers may see changes to Google+, some of which are listed below. You can find additional information and a detailed timeline in the Help Center article. These changes will allow us to focus on adding enterprise features and improving Google+ for G Suite customers.



The process of deleting content from consumer Google+ will take a few months. Some consumer Google+ content may remain visible to G Suite users until consumer Google+ is deleted.



Upcoming changes to Google+ for your organization



Here are some of the changes your users may experience with the shutdown of the consumer version of Google+:



  • Communities outside your domain without at least one G Suite owner will be deleted. Also, your users will no longer be able to create public communities outside your domain.

  • Google+ pages, events, and the Google+ profile field for “tagline” will be deleted for both G Suite and consumer users.

  • Previously, upon G Suite customer cancellation, certain customers (e.g., edu customers) could continue to use Google+. Going forward, upon cancellation of G Suite, all G Suite customers’ content will be flagged for deletion.

  • Content from consumer Google+ accounts will be deleted. Consumer users will also be removed from your circles and communities.

  • For additional changes to Google+ features such as collections, circles, search, vanity URLs, and commenting in Blogger and other sites, see the Help Center article.

Actions requested



You may want to ask your users to perform the actions below:



  1. A new version of the Google+ Android app will be released on February 22, 2019. Your G Suite Android users will need to update the Google+ Android app before March 7, 2019 to continue using Google+ on their mobile devices. Old versions of the app will no longer be supported.

  2. If your users own or moderate a community outside your domain and there are consumer contributions that they would like to keep, they should download and save them before April 2019. If they download the data now, they will get links to community posts. Starting early March 2019, they will also be able to download the author, body, and photos for every community post in a public community.

  3. Google+ pages and events will be deleted for both G Suite and consumer users if there is content your users would like to keep, they should download and save it before April 2019. If they would like to keep their Google+ tagline, please have them download and save their Profile data.

  4. Google+ gadgets in classic Google Sites will no longer work starting March 7, 2019, so you and your users may want to remove them. Google+ embeds in the new Google Sites will continue to work.

  5. If your users opted in to the Google Play Services Public Beta Program, they may experience issues using Google apps like Gmail and Hangouts as we begin shutting down consumer Google+. To avoid any interruption in service, G Suite users can leave the Beta Program.

As we announced in 2017, Hangouts Chat and Hangouts Meet are the next generation of Hangouts that focus on team communication. Later this year, we’ll transition classic Hangouts users to Chat and Meet for all G Suite customers. As a first step, some changes are coming on April 16, 2019 related to Chat and Google Vault. This notice outlines the upcoming changes and actions required by that first date.



What changes will take place on April 16, 2019?



If your domain youmustbeafriend.com has classic Hangouts enabled, Chat will also become available to your users on the web and via mobile apps. While users may continue using classic Hangouts in Gmail, mobile, web or the Chrome extension, Hangouts Chat and Meet will replace classic Hangouts in G Suite later this year, so you may want to begin preparing your end users for this change. Additionally, see these details for how interoperability works between Chat and classic Hangouts.



The following administrator-facing changes will begin taking place on April 16, 2019:



  1. For Google Vault customers, Mail retention rules and holds will stop protecting messages in classic Hangouts. Instead, Chat retention rules and holds will protect messages in both classic Hangouts and Chat.

  2. Chat admin settings will be able to control messaging capability in both classic Hangouts and Chat.

  3. A new setting in the Admin console under Apps > G Suite > Hangouts Chat will be added, enabling you to disable the classic Hangouts user interfaces at your own pace.

  4. The "Google Hangouts" settings page in the Admin console will be renamed "Hangouts Meet." This setting will control both classic Hangouts video conferencing and Hangouts Meet.

Please note, some of these changes may take up to four weeks to appear in your domain.



Google Vault customers need to take action before April 16, 2019



Between March 16 and April 16, 2019, Vault customers that have any Mail retention rules or holds will have an indefinite retention rule automatically created for Chat. You will receive another notice when this rule is set for your organization youmustbeafriend.com. This rule is to protect all your messages in classic Hangouts when Chat rules start protecting them on April 16, 2019. Before April 16, 2019, you must:



  1. Review and set new retention rules for Chat in Google Vault.

  2. Duplicate any existing Mail holds for Chat in Google Vault.

  3. Set any new holds on chat messages from Chat in Google Vault.

  4. Once you have set your preferred retention rules and holds for Chat, in order for them to take effect, remove the indefinite retention rule that may be overriding your rules.

If you don’t set your preferred retention rules or holds in Chat and then remove the indefinite retention rule by April 16, 2019, all your messages in classic Hangouts and direct messages in Chat will be retained indefinitely. Changes to our end-user facing Terms of Service and Privacy Policy for Additional Services


Hello Administrator,



This email is to inform you about changes in our end-user facing Terms of Service and Privacy Policy for your users in the European Economic Area (EEA) or Switzerland that may affect and be noticed by users in your domain youmustbeafriend.com as they access some of the Google Additional Services. These changes do not impact the terms that govern the agreement between Google and your organization. If you have disabled Additional Services for your users in your domain, these changes will not impact them.



What’s Changing?



For users in your domain that are based in the European Economic Area (EU countries, Iceland, Liechtenstein, and Norway) or Switzerland, starting January 22, 2019, services offered under the end-user facing Terms of Service will be offered by Google Ireland Limited instead of Google LLC. You can find our new terms governing the majority of Additional Services here. Play, YouTube, and YouTube Paid Service Terms of Service changes are similar.



At the same time, we’re also updating Google’s Privacy Policy for the Additional Services. The new policy specifies that Google Ireland Limited will be the data controller responsible for these users’ information and for complying with applicable privacy laws (unless otherwise stated in a service-specific privacy notice). Our updated policy is here.



What do I need to do?



No action is required from you. Nothing about your users’ experience in using the Additional Services will change. And nothing is changing in terms of their privacy settings or the way their data is processed, nor the purposes of its processing as described in the Google Privacy Policy.



As you know, the use of Additional Services can be turned on or off for users in your domain.

Due to positive customer feedback regarding Hangouts Meet—our new improved video meeting experience—we will begin enabling Meet starting 21 May 2018 for all newly created meetings in Google Calendar.



Meet provides significantly better performance over classic Hangouts video calls. It features a cleaner, more focused user experience and a simple, secure and reliable method for guests to join meetings.



What's new in Meet?



Since launch in March 2017, we've updated Meet to include an API for reporting, phone dial-out and in-meeting chat. We also recently introduced the Hangouts Meet hardware room kit and for G Suite Enterprise customers, we added support for up to 50 participants, more international dial-in phone numbers, and the ability to record meetings to Google Drive. We just introduced the ability to include US dial-in phone numbers to all Meetings created by users with G Suite Basic and G Suite Business licenses. Looking forward, we are excited to be bringing Meet compatibility with Firefox browsers in May. 



When will Google automatically transition my organization to Meet?



The transition from classic Hangouts video meetings to Meet for your organization youmustbeafriend.com will start after 21 May 2018 - no action is required. Newly created Calendar events will contain Meet video meeting details.



What if I need more time to prepare my users?



You can temporarily extend your use of classic Hangouts as default video conferencing option for at least four weeks by opting out under Apps > G Suite > Google Hangouts > Global Settings. From June, your Calendar events will include Meet video details instead of classic Hangouts links. Previously created classic Hangouts video links will still be usable until at least August 13, 2018.

Which browsers will Meet support?



Please note that Meet does not support Internet Explorer or Safari browsers. If you have video conferencing users who are using these browsers, please review the details of the transition plan and consider whether to opt-out of automatic activation of Meet in your settings in the Admin console. Compatibility with next stable version of Firefox is expected in advance of automatic activation in May and a solution for Internet Explorer and Safari browsers will come in advance of automatic activation with no opt-out. 



Can my users set a custom event URI in Meet?



Meet video meetings have fixed, unique URIs to improve guest access reliability. Customers who need more time to switch from custom URIs with classic Hangouts may consider delaying the enablement of Meet and prepare their users.

  1. Review the details of the transition plan and the differences between classic Hangouts video calls and Meet.

  2. Try out the new experience today by enabling Meet in your Admin Console: Apps > G Suite > Google Hangouts > Meet settings.

  3. Communicate the upcoming changes to your users, using the resources in our Help Center.

  4. Determine whether you want to delay automatic enablement of Meet in the Admin console at: Apps > G Suite > Google Hangouts > Global settings.

We’re excited to announce that the Admin console has been redesigned to better meet your needs, putting your most important controls front and center and making the most common tasks easier than ever to complete.


We’ve prepared an overview guide, video tutorial, and screenshots outlining how to change settings, manage users, apply filters, and access other frequently used features in the new UI.


The redesign is being rolled out gradually to all domains over the coming weeks. We hope you like the changes and we’ll continue to work to provide you with efficient, friendly, and accessible tools.

Organizations of all shapes and sizes, from one-person start-ups to corporations with over 200,000 people, are using Google for work. To reflect this change, we've renamed our products.



To be clear, only our name is changing. The product experience remains the same, as does our commitment to bringing you the best tools to run your business.

Google Enterprise - Important changes regarding administrator account recovery



Hi Ian


As part of recent enhancements to the automated administrator account recovery process, we will no longer be using the secondary email address indicated in the Google Admin console for administrator account recovery. Instead, super administrators can now add their own recovery email address and phone number to their super administrator accounts.



You can learn more about updating the account recovery options in our Help Center. For more information about the new recovery process, please refer to the account recovery instructions.



We encourage all super administrators to keep their recovery information up to date. From now on, super administrators will be regularly prompted to update their recovery details.
